How Olli Works

This page explains how Olli, Ollify's built-in AI assistant, works and what it does with your information. It is provided for your information and does not change the Terms of Service, Privacy Policy, Data Processing Agreement, or Olli Actions Supplemental Terms.
About Olli
What Olli Is. Olli is Ollify's built-in AI assistant. It answers questions about how to use Ollify, such as where to find a setting or how to complete a task. Olli is an AI, not a person, and it says so. Olli can also answer questions about your workspace, such as upcoming jobs or a customer's details, using only what you are permitted to see. Olli only speaks when you speak to it: it does not send you suggestions or notices on its own.
What Olli Does Not Do. Olli never changes anything on its own, and it never sends an email, text, or message to anyone. Olli can propose a change, such as updating a job, adding a schedule item or, for administrators, changing a team member's page access, and it happens only after you review the preview and choose Confirm. A plan of several changes is confirmed once but runs step by step. If one step fails, the later steps are skipped and the earlier ones stay done. There is no automatic undo. A change you confirm appears in your business's activity log as your own change, with a separate entry showing it came through Olli. If Olli fills in a detail you did not give, the preview marks it as assumed. Olli cannot make billing changes, and it cannot tell you whether you can get a refund or cancel. It can point you to the Billing page or to support.
Olli does not make decisions about you, your account, or your customers.
Limits and Actions. Changes Olli makes are counted as actions. Every business has a monthly allowance of actions, and a business that subscribes to Olli Actions has a larger one. When the allowance is used up, Olli can still answer questions but stops proposing changes until your allowance resets on your billing date. Olli also has daily and monthly message limits. Olli will tell you when you are close to a limit and when it resets. Olli will never charge anyone by itself.
Who Can Use Olli. Only signed-in Ollify users who agree to Olli's consent screen can use Olli. Olli can see and do only what your own permissions allow. Your administrator can turn Olli's data and action features off for the business and, on paid plans, choose which roles and people can use them.
What Olli Reads
What Olli Receives. When you send Olli a message, it receives:
what you type, and recent earlier messages in the same conversation
Ollify's own published help guides that are available to you
a general label for the page you are on, such as "Job page" or "My Schedule", and today's date
Unless your administrator has turned Olli's data features off, Olli also receives:
the page you are on (on a record page, the record's name and its ID)
your business name and hours, the names, field labels and help text of the workflows and record types you have set up (other than any your administrator excluded), role names, and which add-ons you have or could add
your name and role, and a summary of what your role lets you access
instructions your administrator has given Olli, if any
the workspace records Olli looks up to answer you, including records from add-ons your business holds, but only records you are permitted to see and your business has not excluded
What Olli Does Not Receive. Olli never receives another business's data. When you ask how to use Ollify, Olli does not look anything up in your account. When you ask about your workspace, Olli looks up only what it needs to answer, and only records you are permitted to see and your business has not excluded. Billing and financial data starts excluded.
The one exception is what you type yourself. If you type a customer's name or other information into a question, Olli receives it.
Where Your Information Goes
Our AI Provider. Ollify sends your message, the conversation so far and, unless your administrator has turned Olli's data features off, the workspace information described above to Anthropic, PBC, the company that provides the AI model behind Olli, so it can write an answer or propose a change. Anthropic is listed on our Subprocessor List. Ollify has enforced US-only processing for its Anthropic account. The models Olli uses support that control, so Olli requests are intended to be processed in the United States. Anthropic runs this processing, so we cannot guarantee that no request is ever processed outside the United States. If we learn that this has changed, we will say so on our Subprocessor List.
Anthropic does not use this content to train its models.
Under its current policy, Anthropic deletes it from its systems within 30 days, unless it must keep it longer for safety or legal reasons.
What Ollify Keeps. Ollify does not store the content of your help conversations with Olli on our servers. When you ask about your workspace, your conversation is saved in your workspace, in your own account, and only you can see it; your administrators cannot read it. You can delete it at any time. A deleted conversation is moved to Trash and permanently erased after your business's recovery period (30 days unless changed). Your administrators see only that it was deleted, by whom and when. A conversation you have not touched in 18 months moves to Trash automatically (pinned ones are exempt), and the raw lookup results inside a conversation are emptied after 30 days. Olli's own answers and change proposals stay until the conversation is erased. We may keep conversations longer where the law requires it, for example under a legal hold. We do keep a record that a question was asked or a change was confirmed, such as who, when, how large the exchange was, and which record was changed. These records never include the words. Workspace administrators can see these records. We also keep a record of your choice to use Olli.
On Your Device. A copy of your conversation stays on the device you use, so it is there when you come back. It holds up to the most recent 40 messages. It is deleted when you start a new conversation, turn Olli off, or sign out. If you share a computer, sign out when you are done. Conversations about your workspace are saved in your workspace, not on your device.
Training. Ollify does not train or fine-tune any AI model on your questions.
Limits of Olli
Questions Olli Will Not Answer. Olli does not answer questions about Ollify's own pricing, billing, plan, refunds, credits, cancellation or legal terms, whether you ask it for help using Ollify or about your workspace. It cannot make billing changes, and it never says whether a refund, credit or cancellation is possible or what your plan includes. When you ask, Olli tells you it can't help with that and points you to support at support@ollify.app and to the Billing page, where you can make a request yourself. Olli does answer questions about your own business information in Ollify, such as a part price on a job, unless your administrator has excluded it. For anything else Olli does not cover yet, it says plainly that it can't help with that here.
Accuracy. Olli is an AI and can be wrong. Check anything important against the Help Center guides it links to. Its answers are only as current as Ollify's help guides. If the guides don't cover your question, Olli will say so instead of guessing. When Olli answers questions about your workspace, check the records themselves; its answer is only as good as the records it can see. Records can contain text written by other people, which Olli treats as information and not as instructions, and nothing changes until you confirm. Always review the preview before you confirm a change: confirming makes the change yours.
What We Ask of You. Please do not type sensitive personal, health, or payment information into Olli. Do not rely on Olli for legal, financial, or compliance decisions. Do not use Olli as the only basis for a decision about hiring, firing, discipline, pay, credit, or housing.
Your Choices
Your Agreement. Olli asks for your agreement before your first message is sent.
Turning Olli Off. You can turn Olli off at any time in your Profile. Turning it off stops Olli from sending your questions to our AI provider and deletes Olli conversations saved on your device. Your administrator can also turn Olli's data and action features off for your whole business and, on paid plans, for individual roles and people. Turning them off does not turn off help answers. The Help Center guides keep working either way.
What Your Business Controls. Your administrator can turn Olli's data and action features off for the whole business, and choose which kinds of data Olli can use. On paid plans, your administrator can also turn them on or off for individual roles and people and set limits for them. Billing and financial data starts turned off. When something is turned off, Olli says so by name and tells you to ask a workspace admin. Administrators do not see your Olli conversations.
